Cartoon Crossroads Columbus (CXC)
Cartoon Crossroads Columbus (CXC) is seeking an organized, reliable, and detail-oriented Administrative Assistant. This is hourly contract work at $15/hour, averaging approximately five hours per week, with increased hours and full-day commitments in the weeks leading up to, during, and immediately following the festival.
Work is primarily remote, with required in-person attendance for select meetings and full-day, in-person support during key festival periods. The 2027 festival will take place April 15–18, 2027, in Columbus, Ohio.
This role supports the CXC board and Festival Manager by maintaining administrative systems, coordinating communication across committees, and ensuring that tasks and timelines stay on track. This is a structured, task-driven role with clear priorities and regular communication.
Responsibilities
- Plan and schedule meetings, including setting dates, sending calendar invitations, and issuing reminders.
- Maintain and actively manage the CXC master calendar, including tracking deadlines and ensuring timely follow-ups.
- Coordinate meeting documentation, including assigning note-taking, collecting notes, and distributing them to relevant groups.
- Organize, archive, and maintain meeting records and shared documents.
- Track action items and follow up with team members to ensure completion.
- Provide regular updates on task progress and communicate any delays or questions.
- Support assigned administrative projects and research tasks as directed.
- Update and maintain board, committee, and donor contact lists.
- Prepare and send communications, including donor appeals, thank-you notes, and 501(c)(3) receipts using mail merge tools.
- Maintain organized systems across Google Drive, Gmail, and shared platforms.
- Proofread emails, press materials, and internal communications.
- Assist with on-site festival operations, including setup, coordination, and light lifting or transport of materials.
Qualifications
- High School Diploma or GED.
- At least 1 year of administrative or organizational support experience.
- Strong attention to detail and ability to complete tasks accurately and on time.
- Ability to follow through on assigned work and manage multiple deadlines.
- Clear and professional communication skills (email, phone, and in-person).
- Proficiency with Google Workspace or similar software.
- Comfortable using or learning required tools, including Airtable, Canva, and mail merge systems.
- Ability to perform light physical tasks (lifting, carrying materials) during festival setup.
- Access to reliable transportation is strongly preferred.
Work Style Expectations
- Work is assigned and prioritized in coordination with the Festival Manager.
- Tasks should be completed as assigned; new projects should not be initiated. independently without approval.
- Regular communication and timely updates are expected.
